LEGAL ASSISTANT / RECEPTIONIST / CLIENT-CARE COORDINATOR

We are a small, women-owned and women-run law firm with a focus on trusts and estates and elder law, as well as the transactional matters critical throughout the life of a business. The Legal Assistant/Receptionist/Client Care Coordinator is responsible for providing administrative support to the legal team, managing the front-office reception duties, and ensuring exceptional client care.

This multi-faceted role offers a variety of work for the proactive individual able to take initiative and requires excellent organizational and interpersonal skills, strong communication abilities, and a client-focused approach. This is a full-time, in-office professional position with free parking in our lovely East Side location.  We seek candidates with a friendly and approachable demeanor,  and the ability to work well with clients and team members. Punctuality is a must.

Key Responsibilities:

Legal Assistant Duties:

  • Assist attorneys with case preparation
  • Manage and organize case files, ensuring all documents are properly filed and accessible.
  • Schedule and coordinate appointments, meetings, and court appearances.
  • Maintain and update legal databases and case management systems.

Receptionist Duties:

  • Greet clients and visitors with a professional and welcoming demeanor.
  • Answer and direct phone calls, taking detailed messages when necessary.
  • Manage incoming and outgoing mail, faxes, and deliveries.
  • Ensure the reception area is tidy and presentable, with all necessary supplies stocked.
  • Assist with general administrative tasks such as photocopying, scanning, and filing.

Client Care Coordinator Duties:

  • Serve as the primary point of contact for clients, addressing inquiries and providing updates on case status.
  • Coordinate client intake processes, including gathering initial information and documentation.
  • Handle client complaints and concerns with sensitivity and efficiency, escalating issues as needed.
  • Develop and maintain positive relationships with clients to enhance their overall experience.
  • Assist clients with billing inquiries and payment arrangements.

Qualifications:

  • High school diploma or equivalent; Associate’s degree or higher in a related field preferred.
  • Previous experience in a legal environment, preferably as a legal assistant or receptionist.
  • Strong knowledge of legal terminology, documents, and procedures.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and legal software.
  • Excellent verbal and written communication skills.
  • Exceptional organizational skills and attention to detail.
  • Ability to multitask and prioritize effectively in a fast-paced environment.
  • High level of professionalism and confidentiality.

PROBATE & ESTATE ADMINISTRATION PARALEGAL

We are a small, women-owned and women-run law firm with a focus on trusts and estates and elder law, as well as the transactional matters critical throughout the life of a business. We seek a paralegal experienced in the specialized area of probate and estate administration. Note: This position is designed to be full-time and on-site, but part-time hours and limited work-from-home will be considered for the right candidate.

Our paralegals are an integral and valued part of our team, assisting with all substantive functions that do not require a law degree including conducting client meetings, handling incoming phone calls, acquiring records, spreadsheet work and document drafting. Experience with Microsoft Office, Word and Excel are a must and experience with My Case practice management or similar software and QuickBooks is preferred. Experience with probate/trust accounting and settlement, and estate tax return preparation is also preferred.

Good people skills are essential for this position; there is substantial client contact in the form of scheduling/conducting meetings, phone calls and emails. Our paralegals work independently, handling day-to-day workflows and deadlines.

The ideal candidate must take initiative and have exceptional attention to detail. The ideal candidate should also have outstanding timekeeping ability, planning and organizational skills, and the ability to develop and implement organizational systems.
